We Redesigned A Client’s Entire Chart of Accounts. Here’s What Changed
Struggling to understand your numbers? See how a tailored accounting system helped one organisation gain clarity, improve reporting & move forward with confidence.
Most business owners don’t think their chart of accounts is the problem, but they feel the symptoms of it every day.
Decisions feel heavier than they should, reports don’t quite land & you’re left with more questions than answers.
When your numbers don’t help you think clearly, it’s rarely about effort or capability. It’s usually about how everything is structured underneath.
The Starting Point
Civic Square is a purpose-led organisation built around missions, the “why” behind what they do.
From the outside, everything looked in place. Transactions were being recorded, reports were being produced, deadlines were being met.
But the experience of the numbers told a different story.
They came from a more traditional accounting setup where things hadn’t been explained in a way that made sense to them. Over time, that created distance.
A lack of understanding of their financial position
Low confidence in what the numbers were telling them
A reliance on guesswork in moments that needed clarity
And underneath that sat something more structural.
Their accounting system was built on a standard chart of accounts. It wasn’t designed around how their organisation actually operated. Which meant they couldn’t easily produce the information they needed, particularly when it came to reporting to funders. They had data, but it didn’t reflect their reality.
They had data, but it didn’t reflect their reality.
Where We Started
Our role was to help Civic Square properly understand the finances of their organisation, and how their organisation works from a financial point of view.
The focus was simple:
Build a structure that reflects their missions
Align financial data with how the organisation actually works
Enable the reporting they need, including reporting to funders on how money is being spent
So we went back to basics and started with the system.
Replacing an out-of-the-box Xero setup with a tailored accounting solution, we remodelled Civic Square’s entire accounting system to fit their business.
The Bloc Party project gave us the opportunity to redesign the chart of accounts so it was relevant to how they operate and what they’re trying to achieve.
This wasn’t about adding complexity. It was about making the system make sense.

What Changed
We redesigned the accounting system around Civic Square’s reality.
The chart of accounts was rebuilt so it reflected:
How the organisation operates
The different areas of their work
The purpose behind what they do
This allowed their financial data to be organised in a way that connected directly to their missions. It also meant they could run the reports they needed, both internally and for external stakeholders.
The numbers themselves didn’t change, but what they represented became much clearer.
The Result
This bespoke accounting setup meant we could help Civic Square report on their missions– why they do what they do and their purpose.
For the first time, their financial information reflected the full picture of their organisation. Not just what was happening financially, but how that connected to their work, their structure, and their impact.
It gave them the richness of information they needed to understand how their organisation actually works.
From there, everything else became easier.
Clarity in the numbers
A deeper understanding of their financial position
Confidence in the decisions ahead
The result was a total financial transformation: clarity in the numbers, and confidence for the way ahead.
For the first time, their financial information reflected the full picture of their organisation. Not just what was happening financially, but how that connected to their work, their structure & their impact.
“Working with Ashton McGill has transformed us & what is possible with such big ambitions ahead & the tools, support & skills to know how to approach it.”

What This Reveals
Getting the structure right changes the experience of your numbers. It creates visibility, and once you can see clearly, the next step becomes possible.
Understanding what those numbers are telling you.
Using them to guide decisions.
Planning with confidence.
For many businesses, the challenge doesn’t sit in effort or intent. It sits in the system underneath.
A Simple Way To Sense-Check Your Own Setup
You don’t need to look far to spot it.
If your numbers feel harder to interpret than they should…
If your reports don’t reflect how your business actually runs…
If you find yourself relying on explanation rather than insight…
There’s usually something structural behind that.
Where This Fits
Designing the accounting system is one part of how we help clients build total financial clarity.
It creates the foundation.
From there, everything else becomes more useful– reporting, conversations, and decision making.

If You’re Thinking About Your Next Stage of Growth
Your numbers should support how you think, not slow it down.
Getting the structure right is often the point where that shifts.
If you’re exploring whether your current setup is giving you what you need, our Switching Checklist is there if you want a starting point.
