They came from a more traditional accounting setup where things hadn’t been explained in a way that made sense to them. Over time, that created distance.

And underneath that sat something more structural.

Their accounting system was built on a standard chart of accounts. It wasn’t designed around how their organisation actually operated. Which meant they couldn’t easily produce the information they needed, particularly when it came to reporting to funders. They had data, but it didn’t reflect their reality.

Where We Started

Our role was to help Civic Square properly understand the finances of their organisation, and how their organisation works from a financial point of view.

The focus was simple:

  • Build a structure that reflects their missions

  • Align financial data with how the organisation actually works

  • Enable the reporting they need, including reporting to funders on how money is being spent

So we went back to basics and started with the system itself.

We replaced an out-of-the-box Xero setup with a tailored accounting system built around the reality of the organisation. As part of that work, we also redesigned the chart of accounts so it supported the way Civic Square operates and what they’re trying to achieve.

This was about creating a system that made sense to the people using it.

 

What Changed

That meant reshaping the structure underneath the numbers so it reflected:

  • How the organisation operates

  • The different areas of its work

  • The purpose behind what it does

This gave their financial data a much clearer framework.

It meant information could be organised in a way that connected directly to their missions. It also meant they could produce the reports they needed, both internally and for external stakeholders, with far more clarity and confidence.

The numbers themselves were always there. What changed was their usefulness.
